Location, Location, Location!

When it’s time to decide on a venue for an event you’re hosting, nothing is more stressful than not having the perfect location and set-up to tie everything together. Cue the Summer of 2007 and The Hills episode titled “Stress and the City.” I sat admiring Whitney Port as she presented a venue option to the Teen Vogue staff for the Young Hollywood Party. I remember distinctly Port’s composure as the staff grilled her with appropriate questions and concerns followed by the dismissal of her many suggestions.

Choosing a location for a client, staff party, or corporate event you’re on the committee for requires time and patience. It is important to do your research and make sure you are aware of the interests of your client (or target audience). This includes being privy to the number of attendees to ensure that venue size is adequate. It is also crucial you check around to make sure there are no other events going on at the same time as your client’s event. The last thing you want to discover on event day is a larger event happening within the same area that draws a larger crowd.

Be creative. One of the most useful tools for a successful event day is playing up on what the venue location has to offer. As you take the time to visit locations, take pictures to remember each venue. After seeing all of the options, lay out all the photos to visualize your choices. This is a great way to differentiate the venues and see what each one has to offer. If there is something unique about one venue, use this to your advantage.

Be mindful of your budget. Make sure that before researching locations you ask your team or client the financial details. If you propose a venue location that is out of your client’s price range, you are wasting your time, as well as your clients. Keep all of these notes in mind prior to selecting options. At the end of the day, you want the publicity from your event to be positive. Ultimately, the success of your event begins with location.
